We are currently seeking an Operations Assistant, to join our Operations Team. This is a hybrid position, but you'll be required to attend the office 1-2 days a week, based out of HQ in the City of London area.
This opportunity has come from internal growth within Opticore, and you’ll support the Operations and Sales functions internally at Opticore.
What you’ll be doing:
- Managing team mailboxes, responding to requests accordingly and escalating as appropriate
- Assisting with the New Joiner onboarding and Leaver offboarding processes
- Organising and managing internal and external events (eg Company Christmas/Summer parties)
- Engaging with our HQ teams and assisting as required (finance, resourcing, delivery, sales)
- Collaborating with the generation of Client and Supplier quotes and orders, and escalation of queries
- Assisting with the creation and tracking of projects within the ERP system and Client reporting and management of project trackers
- Supporting the team with the creation of Internal sales reports including analytics
- Managing the onboarding of Clients and Suppliers
- Overseeing the running of the office and being on hand to deal with requests
- Managing and creating internal ‘social media’ communications
What you’ll bring:
- Proven experience, ideally 1-2 years in an Operations, Sales Support or Business administration role
- High proficiency in Microsoft Office – particularly Excel and Word
- Excellent communication (both verbally and in writing) and interpersonal skills
- Strong organisational skills and the ability to prioritise and manage multiple tasks simultaneously in a fast-paced environment
- Excellent time management skills and the ability to take the initiative to solve problems quickly and logically
- Ability to work independently and proactively and with others to accomplish objectives
- Tact and diplomacy to deal with confidential matters
- Participate in continuously improving Operational processes, be an innovator and find ways to reduce manual tasks
- A can-do attitude with an eagerness to make an impact and learn whilst thriving in a challenging and fast-paced environment
