Job Summary

We are looking for an experienced multi-tasker with excellent communication skills and a consistent upbeat attitude. Candidates should be able to assist management to the company by handling a variety of office management and the event organization requirements.

The candidates should be professional, attentive with a good understanding of processes and an attention to detail. They should always be prepared and responsive, willing to meet each challenge directly and be responsible for the result.

The successful candidate must be a team player comfortable with computers, including computer software such as Excel, PowerPoint and Word as well as proficient in both business English and Chinese written and verbal communication.

In short, the role would best suit a result-oriented, experienced, resourceful all-rounder. However most importantly, she/ he should have a genuine desire to meet the needs of others.


Key Responsibilities:

  • Office management: Ensure smooth office daily operation, enhance office environment and deal with employees’ requests/complaints etc;
  • Facilities management: Raise, arrange, follow up and resolve any issues with facilities teams and landlord;
  • Supplier management: Manage suppliers’ service deliveries and performance appraisal;
  • Team management/collaboration: Receptionist management and regular communication with admin members to achieve shared objectives;
  • Real estate management: Deal with office leasing and small renovation project management;
  • Office assets management: Act as asset administrator to manage and oversee asset management quality;
  • EHS management: Oversee office environment and operation to meet EHS requirements throughout the whole office;
  • Procurement management: Raise purchase requests and ensure all items/service are delivered, accepted, invoiced, paid on time and complied with company rules;
  • Team Assistant: Organise events and meetings, coordinate with different business teams for shared business goals;
  • Other businesses: Handle ad hoc requests and urgent cases to support business teams in timely manner.


Person Specification:

  • Required:
  • Great communication ability.
  • Fluency in both English and Chinese (written and spoken);
  • Good command of MS Office (Word, Excel, PowerPoint, Outlook);
  • Team spirit, openness for an international environment and Chinese business culture;
  • Hands-on and can-do attitude;
  • Well-organized and structured working style
