Sales Administration Coordinator

Born in New York City in April 1963, Marc Jacobs attended the High School of Art and Design and graduated from Parson's School of Design. As a design student, Jacobs was the recipient of some of the School's highest honors including design student of the year.
In 1984, The Marc Jacobs Label was founded along with business partner Robert Duffy and has since become a global brand.
Objective of the role
As a Sales Admin Coordinator, you will ensure a perfect coordination between the headquarter and EMEA Wholesale operations in regards to key topics such as seasonal launches, order portfolio fulfilment, warehousing, transportation, after-sales, credit management.
You will report directly to both the Area Manager and the Wholesale Administration Manager.
Main Responsibilities
Supply - Sales & Distribution
Coordinate seasonal launches according to the global marketing plan and the regional product availability. Coordinate with Sales, Customer Service and Credit departments to reach monthly invoicing targets (OTIF). Help maximise regional turnover through in-season replenishment and commercial action plans. Regularly maintain the customer database (contacts, incoterm, etc.) & follow-up on new account creation requests and developments. Maintain customer rating (based on fall out rate, credit management evaluation, etc.) and suggest action plan. Create and provide tools to stimulate reorders and animate the EMEA Wholesale distribution network. Follow up EMEA Reorder portfolio. Coordinate with logistics, and supply chains of key partners and department store. Support the Wholesale projects from a sales administration, logistic and inventory standpoint. Inventory management
Monitor top sellers' availability in EMEA DC. Verify product availability and coordinate with the inventory team to ensure stock levels meet order requirements. Sales Administration
Assist the Customer Service to reach monthly invoicing Target and provide support in solving local issues when necessary. Provide local knowledge to increase customer satisfaction level in EMEA. Receive, review, and process incoming orders from wholesale customers. Send order confirmations to customers and update the order status in the system. Accurately input and maintain customer and order information in the database. Communicate with the warehouse team to organise the picking and packing of the orders. Organise and coordinate shipments with warehouse team to ensure timely delivery. Process and track orders and shipments to ensure timely delivery and accuracy. Handle customer inquiries and resolve issues related to orders, deliveries, and products. Process returns and swap with customer ensuring proper documentation and inventory adjustments. Follow up with customers after deliveries to ensure satisfaction and address any issues. Work closely with the sales team to support their activities and provide necessary information. Identify areas for process improvement and suggest changes to enhance efficiency and customer satisfaction. Credit Management
Coordinate with the credit management team to verify customer credit status before processing orders. Ensure payments are received and recorded accurately, coordinating with the finance department. Help Interact with customers when credit management issue occurs in order to find solutions. Provide local knowledge to increase customer satisfaction level in EMEA. Reporting
Analyse Sell-Out information from the customers to customise reorder proposals. Provide ad-hoc reports and statistics (stock availability, deliveries, pricing) to the Sales Team / Customers. Generate sales reports and analysis to support decision-making and strategy. Send weekly sales reports and provide updates to the sales and management teams. Profile
Previous experience in Sales Administration
Understanding of warehouse systems, credit control and logistics
Customer, sales and result oriented
Team player attitude and good communication skills
Excellent coordination and organisational skills with strong attention to detail
Capacity to multi- task and work under pressure
Fluent in English, french speaking is a plus
Excellent working knowledge of Office (Excel, Powerpoint)
Previous experience with ERPS (AX, Joor) is a plus
Keen interest in luxury and fashion
Good analytical skills
