Job Purpose

We are seeking a proactive and detail orientated Systems Administrator to join the team in Newcastle. This role will provide support to the business in maintaining and improving the BMS; ensuring that documents are located in a timely manner assisting in business efficiency.

Job Description

BMS Management: Develop/Maintain BMS document register. Issue document reference numbers. Check quality of documents to ensure they meet standard of BMS. Issue documents on BMS and GBPMS (loading to both SharePoints where applicable). Send monthly communication notices via "Communications" email of new/updated documents including same day communications. Review/Identify out of date documents via the BMS Register, issue required communications. Maintain BMS folders current/archive. Removal of old revisions. Document review sign off coordinator: Ensure documents are signed off in a timely manner giving assistance to the document owners. Ensure accuracy of all document references i.e. live and not withdrawn or references that have been changed. Ensure Document Reviews are in line with Escalation process. Global Standard Reviews - communicate requirements - check regularly for compliance and closure. Stop Card registration - Raise monthly voucher request for awards. Crown administration for the Quality Department; Procurement; PQEs; HSE; Business support team - ensuring overtime/weekend working forms are submitted to P&C in time for payroll. Issue Quality and Production Stamps and Maintain the Stamp register. Raising Purchase and Stores Requisition in IFS - Order Stationery. Management of Escalation Process when applicable. MOC coordinator: Improve/Upkeep of the Management of Change process ensuring accuracy and timeliness of submissions. Ensure MOC process is followed by regular auditing of the process. CSS coordinator: Send out CSS emails for the Project Management (PM) Teams via Qualtrics. Improve/Maintain the Quality SharePoint page up to date with relevant news and reports. Training colleagues how to use Document systems i.e. BMS, GBPMS and Open Text.

You are meant for this job if:

IT literate with intermediate to advanced proficiency in Microsoft Word, Excel, PowerPoint and Outlook. Minimum 5 GCSE's including English and Maths. This position requires strong written and verbal communication skills. Experience and a proven track record in an administrative environment essential. Experience within a Manufacturing environment preferred.
