Job summaryTo be responsible for undertaking a wide range ofsecretarial and administrative duties and the provision of administrativesupport to the multidisciplinary team.Duties can include, but are not limited to, the processingof information (electronic and hard copy) in a timely manner.
Liaising withmultidisciplinary team members and external agencies such as secondary care andcommunity service providers; in accordance with current policies including theuse of the electronic referral service (ERS).The post holder must be able to work under pressure,effectively prioritise and be able to work to deadlines to meet targets.
Theywill be expected to work to a high professional standard with an eye forattention and detail and a knowledge of medical terminology.Main duties of the jobTo provide a full secretarial service for the Practicee/referral system guidelines and other referral pathways.
To ensure 2 week wait referrals are dealtwith efficiently and promptly and contain all relevant information, and to keepup to date with changes in referral pathways etc.
Processing referrals using theelectronic referral system (ERS).To liaise with clinicians, administration staff, secondarycare clinicians and their secretaries, patients and other external organisations,actioning all incoming email and all administrative queries as necessaryTo ensure patients are contacted via email and telephoneregarding referrals and hospital appointments.
Only using the postal systemwhen completely necessary.Managing all enquires in an effective manner, answeringincoming phone calls, transferring calls or dealing with the callers requestappropriatelyMaintaining an accurate referrals databaseScanning and inputting data of patient related documentationand attaching scanned documents to patients healthcare recordsProcessing requests for information , SAR,insurance/solicitors letters and DVLA formsClinically coding data on SystmOne as requiredCarrying out system searches as requestedMaintaining a clean, tidy, effective working area at alltimesSupporting all clinical staff with general administrativetasks as requested.Answering incoming phone calls, transferring calls ordealing with the callers request appropriately.To assist the Practice Manager with clerical andadministrative duties.To make appointments, hospital bookings and admissions asrequired.To establish and maintain filing and administrative systemsso that written or computer information is easily accessible and secure.To maintain confidentiality of patient information at alltimes.Adaptability and willingness to change in an ever-changingNHS environment.
