As they continue to grow, they are seeking an experienced and proactive Office/Facilities Manager to lead the management and development of our facilities, ensuring they operate at peak efficiency and offer a safe, productive, and pleasant workspace for all employees.
Role Overview:
As our Office/Facilities Manager, you will play a pivotal role in ensuring the smooth, cost-effective, and compliant running of their offices and facilities. You will oversee a diverse array of responsibilities, ranging from the strategic management of the buildings and premises to ensuring a comfortable and safe working environment that supports the needs of their team. This role is ideal for someone who excels in both hands-on operational management and strategic planning, with a keen eye for detail and a passion for continuous improvement.
Key Responsibilities:
Your role will encompass a variety of critical areas aimed at optimising our facilities and office operations, including but not limited to:
- Oversee the maintenance and management of the premises, ensuring they are safe, secure, and well-maintained to the highest standards.
- Ensure that all office and facility operations adhere to current health and safety regulations, proactively identifying and mitigating risks.
- Prepare and manage tenders, supervise contractor work and coordinate essential services, ensuring top performance and value for money.
- Manage office space effectively to accommodate company growth and operational needs, ensuring all layouts comply with safety and ergonomic standards.
- Negotiate and manage procurement of utilities, communication systems, and other services to ensure cost-effective and high-quality service provision.
- Oversee building security, implement robust safety protocols and respond to emergencies with calm and efficiency to safeguard employees and company assets.
- Implement sustainable practices, such as waste disposal, recycling programs, and energy-efficient building operations.
- Lead the Reception team, managing performance, development and recruitment to ensure a welcoming and professional front-of-house experience for visitors and staff.
Key Areas of Focus:
- Lead and supervise both routine and ad-hoc projects (e.g., office moves, refurbishments, vendor transitions) from concept to completion, ensuring minimal disruption to operations.
- Calculate and compare costs for required goods or services, striving for efficiency while maintaining high standards of quality and functionality.
- Maintain accurate records of safety checks, contracts, and maintenance schedules, ensuring compliance with internal and external audits.
- Create a positive working environment by ensuring facilities align with employee needs, fostering productivity, collaboration, and well-being.
