Job Summary

We are seeking a skilled Purchasing & Facilities Coordinator to join our Estates and Facilities team at The Adam Practice. This is an exciting opportunity to work in a forward-thinking, innovative general practice with a current CQC rating of Outstanding in Care.

The successful candidate will be responsible for the purchase of all supplies for the 5 Adam Practice surgeries, liaising with colleagues and suppliers to deliver a high-quality service for our patients. This includes coordinating orders, sourcing new products, negotiating new contracts, and working closely with the facilities team to ensure the servicing of equipment, arranging repairs and replacements.

The ideal candidate will have excellent communication skills, a good working knowledge of MS Word, Excel, and Outlook, and be an organized, reliable individual who can work independently and as part of a team. A hands-on approach to maintenance, a methodical and common-sense approach is required.

Main Duties of the Job

  • Receive orders from nursing & admin teams in each surgery and place orders with suppliers, achieving best price and delivery times to enable smooth service delivery.
  • Check and review standing orders in place, ordering vaccines for our travel service, and ordering seasonal and campaign vaccines.
  • Manage centrally held stock like B12 and emergency bag items shared between surgeries, monitoring ordering requests and stock being held on sites, and raising any concerns with relevant managers.
  • Keep accurate records of all transactions using purchase order protocols, raising purchasing orders for authorized facilities work, and coordinating with colleagues.
  • Work with managers to change, source, and purchase contracts for the practice as required, and assist the facilities team with various tasks relating to premises and equipment.
