Job Summary

We are seeking a highly skilled and organized Office Manager to join our team at the Commonwealth of Virginia. The successful candidate will be responsible for providing administrative support to the Department Chair and coordinating activities within the department.

Key Responsibilities
  • Provide administrative support to the Department Chair, including maintaining records and coordinating activities.
  • Support the Graduate Program Coordinators in meeting deadlines for university, graduate school, and department-required paperwork.
  • Provide administrative project management support, including financial oversight, to the department's grant leaders.
  • Maintain records and information flow per approved policies and procedures.
  • Receive and distribute incoming documents to appropriate personnel.
  • Supervise administrative department staff and address performance issues.
  • Communicate tasks to supervised staff and provide constructive feedback.
Requirements
  • Strong administrative, organizational, and verbal and written communication skills.
  • Proficiency in office productivity software, desktop publishing, and communications software.
  • Skilled in using general office equipment.
  • Financial literacy, including planning, budgeting, and problem analysis/resolution.
  • Considerable experience interacting with diverse groups, including students, faculty, staff, and the public.
  • Ability to interpret and follow relevant policies and procedures.
  • Ability to establish priorities and work independently and collaboratively.
Preferred Qualifications
  • Bachelor's degree with coursework in business administration, finance, or accounting.
  • Previous experience in a university or similar working and learning environment.
  • Familiarity with student application and registration platforms, content management platforms, and eLearning platforms.
