About the Role:

We are seeking a highly skilled and experienced Executive Assistant to join our team at Hancod Digital. As an Executive Assistant, you will play a crucial role in providing high-level administrative support to our CEO and ensuring the smooth operation of our office.

Key Responsibilities:
  • Calendar Management: Manage the CEO's calendar, schedule meetings, and ensure seamless coordination with internal and external stakeholders.
  • Travel Coordination: Coordinate travel arrangements, prepare itineraries, and ensure all necessary documents are in order.
  • Communication Support: Screen and direct phone calls, emails, and other correspondence, ensuring that all messages are handled with discretion and professionalism.
  • Document Preparation: Prepare and distribute correspondence, memos, and reports, ensuring accuracy and attention to detail.
  • Research and Data Analysis: Conduct research and compile data for presentations and reports, providing valuable insights to support business decisions.
  • Meeting Support: Attend meetings, take minutes, and follow up on action items, ensuring that all tasks are completed efficiently and effectively.
  • Communication and Collaboration: Collaborate with other staff members, handle communication on behalf of the CEO, and ensure seamless coordination with internal and external clients.
  • Financial Support: Assist in the preparation of financial reports and budgets, ensuring accuracy and attention to detail.
  • Office Management: Manage office supplies, equipment, and ensure that the office is well-organized and efficient.
  • Event Planning: Assist in organizing events and company functions, ensuring that all details are taken care of and that the events are successful.
  • Confidentiality: Handle sensitive information with confidentiality, ensuring that all data is protected and secure.
  • Problem-Solving: Provide administrative support as needed, and contribute to the overall efficiency of the office by identifying and solving problems.
Required Qualifications:
  • Education: Bachelor's degree in Business Administration or a related field.
  • Experience: Proven experience as an Executive Assistant or in a similar administrative role.
  • Skills: Proficiency in Microsoft Office suite, excellent communication and interpersonal skills, strong organizational and time management abilities, ability to handle confidential information with discretion, exceptional problem-solving skills, ability to work independently and prioritize tasks, detail-oriented, and capable of multitasking.
  • Knowledge: Familiarity with basic accounting principles, experience in event planning and coordination, knowledge of office management systems and procedures, and a strong sense of professionalism and ethics.
