Executive Support Specialist

We are seeking a highly skilled and experienced Executive Support Specialist to join our team at Hancod Digital. As a key member of our administrative team, you will provide high-level support to our CEO and ensure the smooth operation of our office.
Key Responsibilities:- Calendar Management: Manage the CEO's calendar, schedule meetings, and ensure seamless coordination of appointments.
- Travel Coordination: Coordinate travel arrangements, prepare itineraries, and ensure all necessary documentation is in order.
- Communication Support: Screen and direct phone calls, respond to emails, and provide exceptional communication support to internal and external stakeholders.
- Document Preparation: Prepare and distribute correspondence, memos, and reports, ensuring accuracy and attention to detail.
- Research and Data Analysis: Conduct research, compile data, and provide insights to support presentations and reports.
- Meeting Support: Attend meetings, take minutes, and follow up on action items to ensure timely completion.
- Communication and Collaboration: Collaborate with other staff members, handle communication on behalf of the CEO, and ensure seamless coordination of tasks.
- Financial Support: Assist in the preparation of financial reports and budgets, ensuring accuracy and attention to detail.
- Office Operations: Manage office supplies, equipment, and ensure the overall efficiency of the office.
- Event Planning: Assist in organizing events and company functions, ensuring seamless coordination and execution.
- Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
- Point of Contact: Act as the primary point of contact between the CEO and internal/external clients, ensuring exceptional communication and support.
- Project Management: Prioritize and manage multiple projects simultaneously, ensuring timely completion and exceptional results.
- Administrative Support: Provide administrative support as needed, ensuring seamless coordination and execution of tasks.
- Bachelor's Degree: Bachelor's degree in Business Administration or a related field.
- Experience: Proven experience as an executive assistant or similar administrative role.
- Technical Skills: Proficiency in Microsoft Office suite, including Word, Excel, and PowerPoint.
- Communication and Interpersonal Skills: Excellent communication and interpersonal skills, with the ability to build strong relationships with internal and external stakeholders.
- Organizational and Time Management Skills: Strong organizational and time management abilities, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Confidentiality and Discretion: Ability to handle confidential information with discretion and maintain confidentiality at all times.
