About the Role:

We are seeking a highly skilled and experienced Executive Support Specialist to join our team at Hancod Digital. As a key member of our administrative team, you will provide high-level support to our CEO and ensure the smooth operation of our office.

Key Responsibilities:
  • Calendar Management: Manage the CEO's calendar, schedule meetings, and ensure seamless coordination of appointments.
  • Travel Coordination: Coordinate travel arrangements, prepare itineraries, and ensure all necessary documentation is in order.
  • Communication Support: Screen and direct phone calls, respond to emails, and provide exceptional communication support to internal and external stakeholders.
  • Document Preparation: Prepare and distribute correspondence, memos, and reports, ensuring accuracy and attention to detail.
  • Research and Data Analysis: Conduct research, compile data, and provide insights to support presentations and reports.
  • Meeting Support: Attend meetings, take minutes, and follow up on action items to ensure timely completion.
  • Communication and Collaboration: Collaborate with other staff members, handle communication on behalf of the CEO, and ensure seamless coordination of tasks.
  • Financial Support: Assist in the preparation of financial reports and budgets, ensuring accuracy and attention to detail.
  • Office Operations: Manage office supplies, equipment, and ensure the overall efficiency of the office.
  • Event Planning: Assist in organizing events and company functions, ensuring seamless coordination and execution.
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
  • Point of Contact: Act as the primary point of contact between the CEO and internal/external clients, ensuring exceptional communication and support.
  • Project Management: Prioritize and manage multiple projects simultaneously, ensuring timely completion and exceptional results.
  • Administrative Support: Provide administrative support as needed, ensuring seamless coordination and execution of tasks.
Required Qualifications:
  • Bachelor's Degree: Bachelor's degree in Business Administration or a related field.
  • Experience: Proven experience as an executive assistant or similar administrative role.
  • Technical Skills: Proficiency in Microsoft Office suite, including Word, Excel, and PowerPoint.
  • Communication and Interpersonal Skills: Excellent communication and interpersonal skills, with the ability to build strong relationships with internal and external stakeholders.
  • Organizational and Time Management Skills: Strong organizational and time management abilities, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Confidentiality and Discretion: Ability to handle confidential information with discretion and maintain confidentiality at all times.
  • Problem-Solving Skills: Exceptional problem-solving skills, with the ability to think critically and outside the box.
  • Independence and Adaptability: Ability to work independently and adapt to various work styles and environments.
  • Event Planning and Coordination: Experience in event planning and coordination, with the ability to ensure seamless execution and execution.
