Job Summary

We are seeking an experienced Administrative Assistant to join our team as part of a long-term contract. The successful candidate will provide administrative support onsite, manage project documentation, and coordinate with project teams.

Key Responsibilities
  • Administrative Support: Manage calendars, schedule meetings, coordinate appointments, handle incoming calls, emails, and correspondence efficiently and professionally.
  • Operations Team Support: Assist at project sites and transport light deliveries 1-2 days per week.
  • Document Management: Prepare, organize, and maintain project documents, contracts, permits, and utility records, ensuring timely submission, filing of project-related documentation, and compliance reports.
  • Data Management: Update and maintain databases and spreadsheets for tracking project progress and budgets.
  • Audit Preparation: Monitor adherence to industry regulations and company policies, assisting with audit preparation.
  • Reporting: Generate regular reports on project performance, resource allocation, and administrative metrics.

Requirements

  • Administrative Experience: Proven experience in administration, preferably in construction, utilities, or related fields.
  • Skillset: Proficiency in Microsoft Office Word, Excel, PowerPoint, Outlook, and familiarity with project management tools.
  • Degree Requirements: Full and clean driving license.
