About the Role

We are seeking an experienced Administrative Support Specialist to join our busy Private Client Department in Glasgow or Stirling. The successful candidate will provide high-quality administrative support to our team of solicitors and paralegals, ensuring seamless delivery of services to our clients.

Job Summary

The role involves providing a wide range of administrative tasks, including managing diaries, answering phone calls, taking messages, opening files, and maintaining accurate records. You will also be responsible for supporting fee earners with typing, scanning, and mail duties, as well as assisting with the receipt of new instructions and referrals.

Key Responsibilities
  • Answering telephone calls, taking messages, setting up appointments, and managing team diaries
  • Opening money laundering and legal files
  • Providing secretarial support to solicitors and paralegals, including typing of dictation, fee notes, and client correspondence
  • Entering precise data quickly and correctly
  • Office administration duties, including filing and scanning
  • Mail duties, including organizing mail for signature, collection, and allocation to appointed staff
  • Assisting with the receipt of new instructions/referrals
  • Using various computer systems to create/update and maintain client records accurately
  • Dealing with basic client queries and taking messages where appropriate
Requirements
  • Highers or equivalent in English and Mathematics
  • Pleasant telephone manner and efficiency in relaying and taking messages
  • Computer literate and familiar with MS office packages
  • Previous office experience
  • Able to multitask, prioritise workload, great attention to detail, and excellent organisational skills
  • Portray a professional manner at all times
  • Positive and proactive manner
  • Flexibility and willingness to learn
  • Ability to work as part of a team
  • Approachable manner and calm under pressure
Salary and Benefits

The salary for this role is circa £25,000-£30,000 per annum, depending on experience. We also offer a range of benefits, including pension scheme, life insurance, and holiday entitlement.
