Job Title: Contract Administrator

Job Summary:

We are seeking a highly organized and detail-oriented Contract Administrator to join our team at PRS. As a Contract Administrator, you will be responsible for providing administrative support for our contracts, ensuring accurate and timely documentation of client transactions.

Key Responsibilities:

  1. Manage all financial and commercial aspects of contracts.
  2. Generate supporting financial information.
  3. Maintain and update records related to client services.
  4. Prepare and issue required reports as outlined in the contract and by the client.
  5. Oversee quality management system documentation and ensure compliance.
  6. Process quotations, purchase orders, invoices, time sheets, and holiday records.
  7. Perform general office duties including correspondence, filing, taking meeting minutes, and preparing reports and documentation.
  8. Manage material orders and administration, handle subcontractor administration, and raise and update purchase orders.
  9. Produce valuations and present results, manage contract renewal documentation, and generate short-range planning information.
  10. Log and process quotes, collect and verify timesheets from engineers, and support contract setup.
  11. Prepare application billing, manage the contract escalation process, and provide training to staff as necessary.
  12. Ensure full audit trails for invoices, timesheets, material orders, and goods received notes.
  13. Offer commercial support for the contract through to final account.
  14. Create, assign, and regularly update tasks within the client's helpdesk system.

Accountability:

  • Report directly to the Contract Manager.
  • Dotted line reporting to the Finance Manager.
  • No direct budgetary responsibility.

This role requires strong organizational and communication skills, diligence, and a dedication to providing high-quality service.
