Key Responsibilities

  1. Provide guidance and oversight to the reception and administrative team to ensure seamless day-to-day operations.
  2. Act as a liaison between the management team and reception staff to facilitate effective communication and collaboration.
  3. Support the Practice Manager, Assistant Practice Manager, and Operations Manager in driving continuous improvement initiatives to enhance the practice's overall performance.
  4. Ensure that the reception team provides exceptional patient care, assistance, and direction to patients accessing the practice's services in a courteous and efficient manner.
  5. Lead by example, promoting a positive and supportive team culture that fosters growth and development.
  6. Implement and maintain practice procedures and policies to ensure compliance and consistency.
  7. Ensure all daily tasks are completed before the end of the day, maintaining a high level of productivity and efficiency.
  8. Provide general support to the practice team, projecting a professional and friendly image to patients and visitors.
  9. Contribute to the practice's achievement of target-based functions, such as Quality and Outcomes Framework or Locally Commissioned Services.
  10. Maintain a safe and organized working environment, possessing a thorough understanding of practice procedures and ensuring the reception team operates in accordance with established protocols.
  11. Resolve patient queries and issues in a timely and professional manner.
  12. Collaborate with the Operations Manager to plan the reception rota, ensuring adequate coverage at all times, including during staff absences and breaks.
  13. Quickly resolve IT issues, including problems with printers, the EMIS system, calling board, and check-in machine.
  14. Train new and existing staff to ensure they possess the necessary skills and knowledge to perform their roles effectively.
