Administrative Support Specialist

Job Summary:
The Administrative Assistant role is a vital part of our team at Belfast Area Chamber of Commerce. This position provides exceptional administrative support, ensuring that phone calls are answered promptly, clients and visitors are greeted warmly, and routine office tasks are handled efficiently.
This individual will contribute to the smooth operation of our agency, consistently meeting service standards in quality and timeliness. They will be responsible for managing the reception area, processing payments, and performing light data entry and word processing tasks.
The successful candidate will possess strong organizational skills, attention to detail, and excellent communication skills. They will also have the ability to work in a fast-paced environment with frequent interruptions, prioritize tasks, and manage multiple projects simultaneously.
Primary Responsibilities:
- Switchboard and Reception Area: Answer incoming phone calls within three rings, direct callers to the appropriate staff, ensure calls on hold are revisited every 45 seconds, take and deliver accurate messages, and maintain a clean, organized reception area.
- Administration: Open, sort, and distribute mail accurately, assist with bulk mailing projects, enter and document on-time payments, and perform additional clerical duties as required.
Requirements:
- High school diploma or equivalent required; associate or bachelor's degree in a related field preferred
- Proficient in computer skills, including typing and data entry
- Effective communication and interpersonal skills, with a friendly and outgoing demeanor
- Ability to follow detailed instructions and manage multiple tasks simultaneously
- Strong organizational skills and attention to detail
Salary Information:
The estimated salary for this position is £25,000 - £30,000 per annum, depending on experience.
