Job Description

We are seeking a detail-oriented and experienced Senior Document Controller to join our team in Central London. As a Senior Document Controller, you will be responsible for maintaining and organizing critical documents for our prestigious projects while ensuring confidentiality and compliance with quality management systems.

Key Responsibilities
  • Coordinate all activities related to the Document Control procedure, ensuring systematic filing processes and maintaining document confidentiality.
  • Input document data into standard registers, ensuring accuracy and timeliness.
  • Classify, analyze, and screen all documents received to ensure compliance with quality management systems.
  • Register and distribute documents to ensure effective tracking of document movement within and outside the organization.
  • Coordinate with relevant channels to expedite document flow and distribution to the appropriate personnel or departments.
  • Organize and maintain hardcopies and electronic libraries with the latest revisions/versions for easy access.
  • Ensure confidentiality of operational communication/documents and restrict access to authorized personnel.
  • Provide assistance and support in completing documentation requests and queries.
  • Generate weekly/monthly reports on document status for organizational assessment.
Additional Responsibilities
  • Propose process improvements to enhance document control efficiency.
  • Demonstrate knowledge of ISO documentation standards and utilize spreadsheets, databases, and word processing software effectively.
  • Ensure compliance with records management principles and procedures, including record-keeping and filing practices.
  • Provide ERP knowledge, preferably SAP functional skills.
Requirements
  • Diploma in any related field.
  • Minimum of 6 years' experience in a similar role.
  • Proficiency in database management and records management principles.
  • Good working knowledge of English, both written and verbal.
  • Computer literacy and experience using Microsoft Office software.
