Job Summary:

We are seeking a highly organized and communicative Lettings Assistant to support our team in ensuring smooth operations. As a Lettings Assistant, you will play a crucial role in supporting the lettings process and providing exceptional customer service.

Main Function of Job:

Providing support for the Assistant Lettings Manager and area manager to ensure that clients, tenants, and contractors are dealt with professionally and efficiently. Organizing and conducting viewing appointments and learning all aspects of the lettings business.

Key Responsibilities:

  • Answering telephone calls in a professional manner, ensuring messages are taken accurately
  • Registering applicants, ensuring contact and other relevant details are accurately recorded
  • Booking rental property viewings
  • Preparing Assured Tenancy Agreements for Renewals
  • Carrying out check in and file audits
  • Booking rental valuations
  • Adding letting valuations to the Company system
  • Creating valuation letters
  • Requesting reviews from clients, contractors, tenants etc for SEO to maximize ratings and the profile of the company's website
  • Dealing with voice mails
  • Actioning Boards
  • Working towards and achieving personal and branch targets
  • Upselling products
  • Assisting with Maintenance issues
  • Assisting Tenancy Renewals and notices
  • Assisting with tenants notices and check out process
  • Processing the compliance due
  • Assisting with the Inspections
  • First point of call for lettings Property Managers
  • Dealing with Utility Queries

Knowledge, Skills, Experience and Aptitude Required:

  • The job holder must have proven communication skills and a professional and courteous manner
  • The job holder must have high levels of numeracy, accuracy and attention to detail
  • Good organizational skills and the ability to use own initiative is also essential
  • Good timekeeping and the ability to manage working time efficiently at all times.
  • Demonstrate excellent customer service
  • Attending and Participating in Lettings Meetings
  • Demonstrate commitment to individual and team task goals
  • Adhere to core values
