RFP Coordinator Job Description



We are seeking a highly skilled RFP Coordinator to join our Marketing and Business Development team at Holland and Knight.



Key Responsibilities:




  • Coordinate and manage firmwide responses to requests for proposals (RFPs), ensuring timely and effective responses.
  • Track RFP notices, deadlines, status, and outcomes, and provide regular updates to stakeholders.
  • Develop and implement a bid/no-bid checklist to evaluate the firm's chance of success versus the resources required to prepare a response.
  • Write and edit draft responses, which may range from 10,000 to over 40,000 words, for attorney review and ensure timely filing of required response attachments.
  • Work closely with senior managers to maintain a database of information about the firm, including biographical information, billing rates, fee arrangements, and practice area descriptions.
  • Develop and implement effective agendas for proposal and pitch meetings, prepare materials, and project manage actions resulting from meetings.
  • Collaborate with other departments and marketing staff to assemble a database of information about the firm to be used in the preparation of responses.


Qualifications:




  • 5-7 years of professional experience in fields such as copywriting, corporate communications, direct mail/marketing, or journalism, with a bachelor's degree. Alternatively, 7-10 years of professional experience without a bachelor's degree.
  • Excellent writing and communication skills, with the ability to write clear, concise, and compelling copy about a variety of legal and public policy issues.
  • Knowledge of how to persuade or sell through the power of the written word.
  • Strong organizational, archival, and interpersonal skills, with the ability to work independently and collaboratively in a fast-paced environment.
  • A team player mentality with excellent collegiality and adaptability in an evolving environment.
  • Proficiency in Microsoft Office, including PowerPoint, Word, and Excel, with foundation experience a plus.


Education:



Bachelor's degree in Journalism or English, or a related field.
