Executive Assistant to Board Director

Job Summary
The European Bank for Reconstruction and Development is seeking an experienced Executive Assistant to provide administrative support to the Board Director and ensure the smooth running of the Constituency Office.
Key Responsibilities
- Provide administrative and secretarial support to the Director and Alternate Director, including organizing documents, drafting correspondence, and facilitating Board Director's work.
- Organize Board Committees, meetings, and travel arrangements to ensure the Board Directors are fully briefed.
- Extract and summarize confidential information from Board documents and provide efficient diary management.
- Arrange internal and external meetings, deal with visitors, and make travel arrangements.
- Deal with expense records, handle claims, and type reports, correspondence, and memoranda.
- Draft routine business correspondence and distribute Board documents and other materials within the Office and capitals.
- Monitor communications with capitals and ensure Constituency requirements are being looked after.
- Monitor Office budget and prepare for Annual Meetings and other major events.
- Maintain an effective filing system and perform other ad-hoc administrative and secretarial duties as required.
Requirements
- Proven secretarial/administrative experience and sound knowledge of the EBRD.
- Knowledge of the Bank's procedures and policies.
- Fluent English, both written and spoken.
- Fluent Spanish, both written and spoken.
- Excellent organizational skills and ability to work on own initiative.
- Good typing skills (55 wpm).
- Computer literate: MS365 Teams, Microsoft Outlook, Word, Excel, PowerPoint, and SAP.
- Excellent communication skills, both written and spoken.
- Experience and knowledge in dealing with other institutions and the business community.
- Diplomatic skills and protocol experience to handle relations with authorities, business community, and EBRD staff in a multicultural setting.
- Ability to adapt to change and respond positively to new challenges.

- Strong team player, able to integrate into a small team with the ability to work efficiently and effectively handling simultaneous assignments on a wide variety of tasks involving a wide range of internal and external contacts.

- Reliable, flexible, and willing to work overtime if required.
