Job Summary

The European Bank for Reconstruction and Development is seeking an experienced Executive Assistant to provide administrative support to the Board Director and ensure the smooth running of the Constituency Office.

Key Responsibilities

  • Provide administrative and secretarial support to the Director and Alternate Director, ensuring the Constituency Office runs efficiently.
  • Organize documents for Board Committees, meetings, and travel to brief Board Directors.
  • Draft, edit, and proofread correspondence and reports for Board Directors.
  • Extract and summarize confidential information from Board documents.
  • Manage the Director's diary, arrange internal and external meetings, and deal with visitors.
  • Make travel arrangements, book hotels, and arrange visas as needed.
  • Handle expense records and claims for Constituency budget purposes.
  • Typing reports, correspondence, and memoranda, and photocopying documents.
  • Draft routine business correspondence as required.
  • Distribute Board documents and materials within the Office and capitals.
  • Monitor communications with capitals and ensure Constituency requirements are met.
  • Monitor the Office budget.
  • Prepare for Annual Meetings and other major events.
  • Maintain an effective filing system.
  • Perform other ad-hoc administrative and secretarial duties as required.

Requirements

  • Proven secretarial/administrative experience and sound knowledge of the EBRD.
  • Knowledge of the Bank's procedures and policies.
  • Fluent English, both written and spoken.
  • Fluent Spanish, both written and spoken.
  • Excellent organizational skills and ability to work independently.
  • Good typing skills (55 wpm).
  • Computer literate: MS365 Teams, Microsoft Outlook, Word, Excel, PowerPoint, and SAP.
  • Excellent communication skills, both written and spoken.
  • Experience and knowledge in dealing with other institutions and the business community.
  • Diplomatic skills and protocol experience to handle relations with authorities, business community, and EBRD staff in a multicultural setting.
  • Ability to adapt to change and respond positively to new challenges.
