Job Overview

The Assistant to the Directors provides high-level administrative support to the Directors of Playful Productions. This role involves providing administrative assistance, managing complex work schedules, and liaising with colleagues, producers, and creative teams.

Key Responsibilities:

  1. Diary and Stakeholder Management
  2. Provide experienced diary management for the Directors
  3. Liaise on behalf of the Directors with colleagues, producers, and creative teams
  4. Respond to invitations and arrange Directors' travel, accommodation, and other bookings
  5. Maintain the Directors' contacts database
  6. Assist with requests for house seats on non-Playful shows

Office Support and Administration

  1. Ensure Directors' office spaces are tidy and well-presented
  2. Manage office bookings by other members of the Playful team
  3. Proofread documents, correspondence, and programmes
  4. Assist with programme planning and management

Communication and Representation

  1. Represent the Directors externally as required
  2. Manage Directors' inboxes and related correspondence
  3. Draft letters and briefing notes as required

Additional Responsibilities

  1. Provide general support to the General Managers and production teams
  2. Attend press nights and provide press night support
  3. Attend running shows as required

Requirements

  1. A detailed-oriented self-starter with at least three years' experience in a professional theatre environment
  2. Someone who exhibits sound judgment with the ability to prioritise and make decisions
  3. Excellent computer skills, including the Microsoft Office Suite and Adobe Acrobat
  4. Exceptional writing, editing, and verbal communication skills

Working Hours and Benefits

  1. Normally 10am to 6pm Monday to Friday with an hour for lunch
  2. Additional hours including some evenings and weekends may be needed
