Job Summary

We are seeking an Office Coordinator to support the smooth running of our London office. The successful candidate will be responsible for ensuring all ISO quality processes relating to the facilities are maintained, ensuring all new starters' workspaces are ready, and maintaining records.

Key Responsibilities

  • Facilities Management
    • Ensure the office is stocked with necessary essentials.
    • Maintain records, resolve issues when identified, and complete new starter inductions.
  • Administrative Support
    • Be the first point of contact for all visitors, ensuring meeting rooms are prepared, refreshments are provided, and everyone feels warmly welcomed.
    • Book travel arrangements, including trains and flights, for employees and contractors, ensuring all travel logistics are handled efficiently.
    • Provide administrative support to the Executive Assistant, including taking meeting minutes when required, managing correspondence, and handling any other ad hoc admin tasks.
  • Communication
    • Communicate effectively with internal and external stakeholders.

Requirements

  • Experience
    • Demonstrable experience in office/facilities management.
  • Skills
    • Proactive problem-solving abilities and the capacity to multi-task.
    • Excellent time management and the ability to prioritise tasks effectively.
    • A 'no job too small' attitude
    • A friendly and welcoming personality with the ability to work well with others.
    • Strong working knowledge of MS Office.
    • The ability to remain calm under pressure while managing a diverse workload.
    • Experience in taking meeting minutes (desirable).
    • Exceptional communication skills, particularly in writing clear and professional emails.
    • Strong organisational and administrative skills.
