Knight Frank is seeking an experienced Operations Coordinator to provide administrative support to the Edinburgh Office.

As a key member of the team, you will be responsible for coordinating daily operations, processes, and efficiencies, as well as providing executive support to the Office Head and various teams.

Key responsibilities include:

  • Providing 1:1 administration support to the Edinburgh Office Head, including diary management, email management, and organization of internal and external meetings.
  • Coordinating Board Meetings and team Strategy Away Days, including preparation of Board packs.
  • Managing presentations, including coordination with in-house creative and business development teams, external printers, and the post room.
  • Preparing documents, including audio/copy typing, letters, memos, minutes, schedules, mailshots, and reports.
  • Arranging corporate travel, including preparation of detailed itineraries and travel packs.
  • Attending team WIP meetings, taking minutes, and ensuring actions are followed up.
  • Helping to ensure all team members' mandatory training is up to date and promoting training opportunities for personal development.
  • Composing and preparing correspondence, including audio/copy typing, letters, memos, design documents, and newsletters.
  • Answering organizational mail, including email, correspondence, and requests for information.
  • Maintaining team schedules, including diary coordination, organization of internal and external meetings, and booking meeting rooms and conference calls.

To be successful in this role, you will need:

  • 3+ years' experience in a similar operations or administrative role.
  • Proficiency in Microsoft Office.
  • Excellent standard of English grammar and spelling.
