Internal Client Services Team

The ICS team plays a pivotal role in delivering high-quality support services across the Firm. This underpins the exceptional service we provide to our clients.

Led by Vicki Napolitano, Director of ICS, the team is managed by Claire Phillips, Head of ICS. The structure comprises Client Services Leads, Client Services Executives (CSE), Client Document Executives (CDE), and Client Services Administrators (CSA).

Roles and Responsibilities
  • Customer Service: Develop solutions to ensure an exceptional service is provided at all times.
  • Consistently update service users on progress and status of tasks where appropriate.
  • Work with service users to offer assistance where possible.
  • Support the Compliance & Risk Team with client due diligence, conflict checking, and Anti Money Laundering processes.
  • Create new files and maintain existing files, demonstrating understanding of principal documents.
  • Deal with internal and external postal deliveries and arrange courier services as needed.
  • Work efficiently on the Practice Management System to log and record documents.
  • Undertake file closing procedures, including archiving and retrieval.
  • Complete searches for Partners, fee earners, Client Services Leads, and Client Services Executives.
  • Perform photocopying, printing, scanning, binding, and filing tasks.
  • Support the Finance team by loading receipts, cheques, and bills onto the system.
Practice Group Specific Tasks
  • Depending on the Practice Group, additional tasks may include:
  • Producing document packs for the Practice groups.
  • Creating court bundles.
  • Keeping client-specific records updated where necessary.
  • Preparing files for costs assessments.
  • Conducting basic Land Registry searches.
  • Handling Data Subject Access Requests.
  • Updating the Practice Group intranet pages.
  • Additional practice group specific administration tasks.
Person Specification
  • A minimum of 6 months administration experience.
  • GCSEs graded A to C (or equivalent) in maths and English.
  • Solid customer service experience and work ethic.
  • Excellent verbal and written communication skills.
  • Proactive Team Player.
  • Organised.
  • Good interpersonal skills with adaptability.
  • Attention to detail and accuracy.

Estimated Salary: £25,000 - £35,000 per annum
