Job Title: Administrator

Job Type: Permanent

Salary: £23,000 - £25,000 (DOE)

Working Hours: Monday - Friday, 9AM - 5PM

Location: Didcot, hybrid working

About the Role:

We are seeking an experienced Administrator to provide support to our events team, acting as the first point of contact for all enquires and co-ordinating all events bookings.

Key Responsibilities:

  • Event Enquiries: Act as the first point of contact for all events enquiries, ensuring all correspondence is managed effectively, professionally and in a timely manner.
  • Event Bookings: Process all event bookings, ensuring delegate information is complete and accurate. Process invoices and credit notes, scan and file booking forms and send written confirmation.
  • Event Information: Ensure all event information is kept up to date and that all activity for each event is recorded on the relevant database.
  • Exhibitor Liaison: Assist with exhibitor liaison before the exhibitions to make sure all exhibitors are booked and processed, and they have completed all associated documents they require to exhibit at the event.
  • Event Preparations: Assist with event preparations including the production of badges, mail merges and gathering of all materials to go to the event.
  • Office Administration: Assist with all team specific office administration duties such as post, booking meeting rooms, minute taking, events diary management, booking travel and accommodation.
  • Supplier Liaison: Liaise with appropriate suppliers to obtain quotes and turnaround times for design work, print costs, mailing services, AV support, analysing costs and making recommendations for the best supplier to use.
  • Marketing Support: Assist in the distribution of promotional materials including e-shots, brochures, flyers, website and social media updates as appropriate.
  • Post-Event Follow Up: Assist with post-event follow up including processing feedback forms and reorganising materials and literature upon return from an event.
  • Event Attendance: Attend events as required, including event setup and breakdown and meeting, greeting and registering delegates.

Requirements:

  • Communication: Effective and accurate written, verbal and electronic communication skills.
  • Administrative Skills: Strong administrative, organisational and time management skills.
  • Attention to Detail: An eye for detail with the ability to multi-task, work well under pressure and within a small team.
  • IT Literacy: Excellent IT literacy, with demonstrable knowledge of Outlook, Word, Excel, Mail Merge.
  • Education: Educated to GCSE standard.
  • Travel: Prepared to travel for external meetings & events, with a willingness to be flexible on hours if necessary.
  • Driver's License: A driver's license is essential with own transport due to the office location.
