Position Title: Event Coordination Specialist

Overview:
We are looking for an Event Coordination Specialist to assist our events team by serving as the primary contact for all inquiries and managing event bookings efficiently.

Employment Type:
Permanent

Working Schedule:
Monday - Friday, 9AM - 5PM

Key Responsibilities:
As the Event Coordination Specialist, your duties will include:
  • Acting as the main point of contact for all event-related inquiries, ensuring that all communications are handled professionally and promptly.
  • Processing event reservations, verifying that all participant details are accurate and complete.
  • Maintaining up-to-date event information and ensuring that all activities are documented in the appropriate database.
  • Supporting exhibitor communication prior to events to ensure all exhibitors are registered and have completed necessary documentation.
  • Assisting in event preparation tasks, including the creation of identification badges, mail merges, and gathering materials for the event.
  • Handling various administrative tasks for the team, such as managing mail, booking meeting spaces, taking minutes, maintaining the events calendar, and arranging travel and accommodations.
  • Coordinating with suppliers to obtain estimates and turnaround times for design work, printing, mailing services, and audio-visual support, while analyzing costs and recommending the best options.
  • Helping distribute promotional materials, including electronic communications, brochures, flyers, and updates on the website and social media.
  • Assisting with post-event activities, including processing feedback and organizing materials upon return from events.
  • Participating in events as needed, which includes setup and breakdown, as well as welcoming and registering attendees.

Required Skills and Experience:
The ideal candidate will possess:
  • Strong IT skills, with proven proficiency in Outlook, Word, Excel, and Mail Merge.
  • A willingness to travel for external meetings and events, with flexibility in working hours as required.
  • A valid driver’s license and access to personal transportation due to office location.
