Job Summary:

We are seeking a highly organized and proactive Office Administrator to join our fast-paced team at Search, a well-established recruitment agency. As an Office Administrator, you will play a crucial role in ensuring the smooth operation of our office, providing exceptional customer service, and supporting our team members.

Key Responsibilities:

  • Invoice Processing: Manage and process supplier and customer invoices accurately, ensuring timely payment and maintaining a high level of attention to detail.
  • Stock Management: Oversee the stock of materials in our warehouse, including monitoring levels and ordering new supplies to meet the needs of our clients.
  • Customer Service Excellence: Act as the first point of contact for clients, providing outstanding service and ensuring their needs are met.
  • Collaboration: Work closely with other departments and contractors to ensure seamless project delivery and coordination.
  • Administrative Support: Handle general administrative tasks, including managing emails, filing, and maintaining records.
  • Order Management: Place orders for materials and coordinate deliveries to ensure projects run smoothly.

Requirements:

  • Strong attention to detail: Ensure accuracy in all tasks and maintain a high level of attention to detail.
  • Customer service skills: Provide a positive experience to both clients and internal stakeholders.
  • Excellent communication and interpersonal skills: Collaborate effectively with team members and external contractors.
  • Prior experience: Preferably in an administrative role, particularly in invoice processing and stock management.
  • Technical skills: Proficient with Microsoft Office (Word, Excel, Outlook), Sharepoint, and the ability to learn company-specific software systems.
  • Self-motivation: Capable of managing multiple tasks in a busy environment.
