Receptionist Job Description

The NHS is seeking a skilled Reception Administrator to join its busy GP Practice. This part-time position involves working 25-30 hours per week, Monday to Friday, with flexible morning and evening shifts. No prior experience is required, but customer service skills and IT proficiency would be beneficial.

The successful candidate will be a team player, enthusiastic, hardworking, and organized. They must possess excellent communication skills, be self-motivated, and flexible to adapt to changing situations.

Main Responsibilities

The Reception Administrator will be responsible for undertaking a range of reception and administrative duties, which will be fully trained on. The role involves providing and receiving information face-to-face, over the phone, in writing, or electronically from patients, doctors, practice nurses, colleagues, and external contacts.

  1. Manage the Computerized Appointment System: Operate the Access system in accordance with protocols.
  2. Receive and Book Patients: Monitor patient flow, make emergency appointments, and alert doctors to patients requiring immediate attention.
  3. Handle Payments: Advise patients of relevant fees for non-NHS services, accept payment, and issue receipts for non-NHS income.
  4. Post and Document Management: Open, sort, and distribute internal and external post, and scan documents/letters to the computer system.
  5. Liaise with Consultants: Communicate with consultants' secretaries regarding patient referral queries and expedite appointments/tests as required.
  6. Ensure Continuity of Service: Pass on relevant messages/details during staff changeovers.
  7. Participate in Meetings and Training: Attend staff meetings and in-house training, as well as external training courses as necessary.
  8. Maintain a Clean and Organized Environment: Ensure the reception and waiting areas are kept neat and tidy.
  9. Cover for Colleagues: Cover for colleagues in the event of absence through sickness or holidays as required.
  10. File Patient Records: File patient records appropriately.
  11. Update Patient Information: Check and update patient addresses, telephone numbers, etc., on both manual and computerized records.
  12. Chaperone GPs: Chaperone GP if required.
Data Protection and Confidentiality

The post-holder will be expected to use computers and other information technology to ensure security procedures are followed, including safeguarding confidential information.
