Senior Administration Role in Aberdeen or Inverness

This is an essential position within our Professional Services industry, requiring a candidate to lead the team in our Aberdeen or Inverness locations.

About the Opportunity

The successful candidate will have the opportunity to work for a renowned company in the professional services sector, boasting a workforce of over 700 employees. They are recognised for delivering a diverse range of services that cater to various sectors.

Key Responsibilities:
  1. Diary Management: Manage diaries, arrange meetings, and track responses.
  2. Email Management: Ensure documentation is copied to client folders, flag important emails, and respond as needed.
  3. Project Management: Prioritise and manage multiple projects, ensuring timely follow-through.
  4. Practice Area Organisation: Maintain organisation during holidays/absences, checking mail/voicemail/email and responding as necessary.
  5. Data Input: Input data into case management systems.
  6. Client Communication: Deal with clients and third parties via email, phone, or in person, ensuring accurate messages are communicated professionally.
  7. Excel Skills: Prepare Excel spreadsheets proficiently.
  8. Expense Claims: Organise expense claim forms and collate receipts.
  9. Invoicing: Pay invoices in compliance with internal procedures.
  10. Billing Assistance: Assist with billing, attend team/billing meetings, prepare bills and narratives for lawyer sign-off.
  11. Time Transfer: Organise transfer of time from lawyer's suspense account to relevant matter number.
  12. System Updates: Populate and update internal systems and databases.
  13. Document Sharing: Share documents within the team, listing presentations on a central database and making templates available to all members.
  14. Travel Arrangements: Source travel and accommodation, anticipating important information and documents fee earners may need while travelling.
  15. Client Correspondence: Type and amend client correspondence and legal documents to a high standard.
  16. Team Player: Willing to go beyond regular duties and help out where needed.
  17. Flexibility: Flexible regarding working hours, willing to complete work during lunchtime or work on a different timetable (8:00-16:00 or 10:00-18:00).
Requirements

Our ideal candidate will have excellent organisational skills, be highly motivated, and possess strong communication skills.

Estimated Salary:

$40,000 - $60,000 per annum, dependent on experience.
