About the Role
We are seeking a highly organized and detail-oriented individual to provide administrative support to our Orthodontic Department at Queen Victoria Hospital NHS Foundation Trust. As a Medical Secretary, you will play a vital role in ensuring the smooth operation of our department, providing exceptional support to our consultants and clinicians.
Key Responsibilities
- Provide full administrative support to the Orthodontic Department, including managing patient records, scheduling appointments, and coordinating with other departments.
- Work closely with the Team Leader and other administrative and clinical staff to ensure seamless communication and collaboration.
- Develop and maintain effective manual and computerized systems to ensure accurate and timely delivery of information to patients and professionals.
- Deal with correspondence, using initiative and discretion to prioritize tasks and ensure timely responses.
- Provide excellent customer service, responding sympathetically to individual needs and ensuring a professional image of the Trust is maintained at all times.
- Assist with the supervision of temporary or new secretaries, providing guidance and support as needed.
- Follow the Trust's guidelines on confidentiality and maintain a sound knowledge of medical terminology, tests, symptoms, and procedures.
Person Specification
- Secondary education to GCSE level, including English and Maths
- NVQ level 3 in administration or equivalent experience or RSA level III or able to demonstrate equivalent skill
- Significant experience in secretarial/administration, preferably in a medical setting
- Working in a multi-disciplinary team
- Aware of confidentiality and General Data Protection Regulations (GDPR)
Desirable Qualifications and Skills
- Knowledge and awareness of medical terminology
- Knowledge of NHS performance/targets
- Accurate audio typing, typing speed of at least 60wpm
- Proficient use of computers and software packages, including the knowledge of databases and spreadsheets

- Good command of English, both written and verbal, with good grammatical and spelling ability
- Attention to detail with high degree of personal organization, prioritization, and self-management
- Demonstrate ability to work under pressure
