Job Purpose

The role involves being an integral part of the Monitoring Team within the Student Administration division, tasked with overseeing student attendance and engagement. The position requires collaboration with the team to implement new processes and ensure uniformity in practices for both domestic and international students. Additionally, the role includes conducting data quality assessments related to student administration.

Main Responsibilities

  • Collaborate closely with the team to deliver a responsive attendance and engagement monitoring system for all students.
  • Contribute to the establishment of Key Performance Indicators and assist in their monitoring and reporting.
  • Foster effective working relationships within Student Services and across the University to promote best practices that cater to the diverse student population.
  • Support the development and integration of new workflows in the engagement and attendance monitoring area.
  • Ensure compliance with all regulatory and university policies, maintaining accurate information as per those regulations.
  • Act as a primary contact point, providing customer-focused support and guidance to students and staff.
  • Work alongside the Monitoring and Compliance Team to uphold the University's regulations and UKVI requirements.
  • Oversee the maintenance of student files for UKVI audit purposes.
  • Assist in identifying 'at risk' students early and support team members in determining appropriate actions.
  • Help generate regular engagement reports and assist in necessary follow-up actions.
  • Conduct ID checks for students, including handling BRP cards, subject to Home Office approval.
  • Perform additional duties as required by the line manager, commensurate with the role's grade.
  • Engage in University events such as open days, examinations, and graduations as part of the Student Administration Team.

  • Work within a bilingual service hub.
  • Participate in performance reviews and professional development activities.

Person Specification

Qualifications/Training

Essential:

  • Minimum of 5 GCSEs at grades A* - C (including English and Maths) or NVQ level 2 in a relevant field such as Customer Service or Business Administration, or equivalent experience.

Desirable:

  • BTEC Professional Diplomas, Certificates, and Awards at Level 5.
  • NVQ level III.

Experience/Knowledge

Essential:

  • Experience in addressing queries and providing information to students and academic staff.
  • Understanding of academic regulations and procedures.
  • Knowledge of legislative requirements related to equality, data protection, UKVI, and freedom of information.
  • Awareness of the needs of a culturally diverse staff and student body.

Desirable:

  • Familiarity with UKVI/Home Office visa requirements.
  • High level of computer literacy, preferably with experience in databases and student record systems.

Skills/Abilities

Essential:

  • Ability to work collaboratively within a small team to achieve objectives and meet deadlines.
  • Recognize when to escalate decisions beyond the role's responsibility.
  • Provide accurate and appropriate advice in a confidential manner.
  • Handle sensitive situations involving students according to established policies.

Desirable:

  • Ability to contribute to decision-making by providing relevant information.
  • Welsh language skills are desirable; opportunities to learn are available for candidates wishing to improve.
