Job Summary:

The Office Administrator will provide comprehensive reception, secretarial, and administrative support to all services provided by Supporting Care Ltd and any other service within the premises, as may be required for the effective and efficient operation of and reporting on the services.

Key Responsibilities:
  1. Reception and Client Support: Perform reception and initial client support duties during the opening and closing hours of the service, Monday to Friday, 9-5pm, and support the Team in the delivery of a professional service.
  2. Communication and Customer Service: Provide a warm welcome to all visitors, dealing with telephone and face-to-face enquiries in an efficient and professional manner, offering visitors refreshment and directing them to the appropriate service manager.
  3. Facilities and Maintenance: Maintain a safe and clean reception area by complying with procedures, rules, and regulations.
  4. Administrative Support: Provide secretarial and administrative support, including typing, minute taking, filing, data input, maintenance, and management of information held by the Company as may be required.
  5. Confidentiality and Data Protection: Ensure that all information is treated confidentially and to always have absolute discretion, complying with the Supporting Care's data protection procedures.
  6. Training and Development: Attend trainings and meetings as may be directed by the Manager, as appropriate to the position of Supporting Care Office Administrator.
  7. Roster Management: Be the lead person responsible for updating the roster for covers during office hours of 9-5pm on ECM.
  8. Out-of-Hours Support: Out of office hours on-call duty on a rotational basis.
  9. Fire Safety and Security: Undertake weekly fire alarm tests.
  10. Community Outreach: Outreach to local areas and publicising SC services.
  11. Carer Support: Ensure carers are taking gloves/aprons for clients when visiting the office and updating Care Planner. Support preparation and assist in the collection of data for such monthly, quarterly, and annual reports of services from satisfaction surveys.
  12. Professional Development: Undertake ongoing training and professional development, appropriate to the effective and timely discharge of the duties of the post.

Requirements:
  • Education: GCSE or equivalent (preferred)
  • Experience: Customer service: 1 year (preferred)
  • Language: English (preferred)
  • License/Certification: Driving Licence (preferred)
