Job Title: Lead Reception Coordinator at West Heath Surgery

The position serves as the primary liaison for patients, enhancing communication between patients, healthcare professionals, and the reception team.

Key Responsibilities:

  • Oversee administrative staffing levels and manage any absences
  • Direct administrative workflows and assign tasks efficiently
  • Supervise the performance and professionalism of the reception staff
  • Assist in the recruitment and training of new reception personnel
  • Support the ongoing training and development of the administrative team
  • Facilitate the operational management of supplementary services
  • Participate in relevant meetings and discussions
  • Conduct audits and ensure adherence to designated policies
  • Manage designated systems and contribute to team meetings
  • Maintain facilities and oversee work environments
  • Handle phone calls and general inquiries
  • Schedule appointments, take messages, and manage patient documentation
  • Provide administrative assistance to clinicians and management
  • Ensure compliance with health and safety regulations
  • Communicate effectively with patients and colleagues

Special Requirements:

  • Able to work across multiple locations
  • Maintain strict confidentiality at all times

Person Specification:

Qualifications:

  • GCSE English or equivalent Grade C or above
  • RSA II typing/word processing or equivalent qualification

Experience:

  • Prior experience in office and medical reception roles
  • Familiarity with Vision and EMIS web software

Knowledge and Skills:

  • Proficient in reading, writing, and speaking English
  • Strong organizational and prioritization abilities
  • Exceptional customer service and interpersonal skills
  • Good communication skills with an understanding of confidentiality
  • Knowledge of Microsoft Word and the Data Protection Act

  • Adaptability, reliability, and ability to perform under pressure
