Core Working Hours: 8:00 AM - 5:00 PM (Monday to Friday)

Who We Are Looking For: We are seeking a dedicated Administrative Support Specialist to join our team at the Main Reception. This role is integral to our Adult Mental Health service, where the successful candidate will collaborate within a diverse and skilled team. Reporting to the Admin Team Coordinator, you will provide essential reception and administrative support to both clinical and non-clinical staff, as well as management across the organization.

Main Responsibilities:

Key Duties: As the primary point of contact for patients, staff, and visitors, you will provide support to individuals who may be experiencing distress or crisis.

Your responsibilities will include:

  • Managing electronic patient records (utilizing CareNotes)
  • Scanning, printing, and uploading documents
  • Handling complex patient inquiries via phone
  • Scheduling and modifying clinic appointments
  • Coordinating clinic room bookings
  • Data entry and general administrative tasks

You must possess the ability to multitask effectively under pressure and adapt to the evolving needs of the service. This role will require you to oversee the main reception area and provide administrative support to various services as needed.

Job Requirements:

Skills and Qualifications:

The ideal candidate will possess the following:

  • Strong organizational skills with the ability to prioritize and delegate tasks effectively
  • Educational background at GCSE level, with an administration NVQ or equivalent experience
  • Confident telephone communication skills
  • Proficient IT skills, particularly in Microsoft Office applications
  • High-level communication skills, attention to detail, and sensitivity to the nature of the service
  • Ability to work independently and collaboratively within a team

Knowledge of Microsoft Office systems is advantageous; however, training will be provided for in-house systems.

Successful candidates will undergo DBS checks and complete online training modules. Uniforms can be provided if necessary.
