We are looking for a well-organized, proactive, and motivated individual with a positive attitude to deliver efficient administrative and informational support to Clinical Team Managers on a daily basis.
The ideal candidate will be resourceful and adaptable, possessing excellent communication and organizational abilities. You will be expected to work independently while maintaining effective record-keeping by entering and processing both clinical and non-clinical data, as well as compiling statistics through electronic information systems.
Our service has received an overall rating of Good from the CQC, with an Outstanding rating for care and compassion, which we take great pride in. We have also been recognized locally and nationally for the quality of services we provide.
Coventry and Warwickshire Partnership Trust offers a comprehensive range of expanding physical, mental health, and learning disability services to children, young adults, adults, and older adults across multiple sites in Coventry, Warwickshire, and Solihull.
We serve a population exceeding one million residents in Coventry and Warwickshire, and our specialist services reach a broader geographical area, attending to approximately 5,000 patients daily.
The successful candidate will be required to take initiative, prioritize tasks, and manage competing demands effectively. Problem-solving skills and the ability to make informed decisions are essential, along with a keen attention to detail for accurate and timely data recording.
This position will involve a variety of responsibilities, including:
- Diary management
- Organizing and coordinating routine and urgent meetings
- Room bookings
- Minute taking
- Managing the recruitment process
- Organizing and recording supervisions and performance development reviews
- Updating electronic staff records
- Maintaining e-rosters, including annual leave requests and sickness reporting
Applicants should be proficient in Microsoft Word and Outlook, with experience in Excel spreadsheets being advantageous. Familiarity with TRAC and electronic staff record systems is beneficial but not mandatory, as training will be provided.
While the Administrative Support Specialist will be part of the overall administrative team, the role will primarily focus on supporting the Clinical Team Managers on a daily basis, with limited patient interaction. The position will be supervised by the Locality Admin Coordinator, who will provide training, supervision, and performance reviews.
This role is crucial in enhancing the efficiency and effectiveness of clinical services, and we seek individuals who embrace change and support service improvements.
