Willis Global Ltd, a prominent player in the logistics sector, is seeking an Import Logistics Coordinator to join their dynamic team. This role is pivotal in ensuring the seamless execution of import operations, catering specifically to the aerospace industry.

Role Overview:
The primary aim of the Import Logistics Coordinator is to collaborate with the AOG Operations team, managing shipments from initiation to completion while maintaining exceptional customer service standards.

Key Responsibilities:

Import Operations:
  • Timely response to customer quotation requests, ensuring follow-up and accurate data entry into the company system.
  • Identify and implement the most economical shipping methods in line with customer directives.
  • Engage with suppliers to secure cost information during the booking process.
  • Oversee all necessary documentation and online submissions for efficient and compliant import operations.
  • Provide written notifications for collection and delivery instructions.
  • Ensure Customs Entries are accurately completed based on customer instructions or established SOPs.
  • Coordinate with the Warehouse and Transport Department for reliable export distribution.
  • Maintain high standards in all Customs entries.
  • Arrange direct drives as per customer specifications.

Customer Engagement:
  • Promptly respond to customer emails and calls, adhering to established standards.
  • Maintain a courteous and positive demeanor in all interactions.
  • Track shipments and address customer inquiries effectively.

Documentation and Administration:
  • Manage shipment records in compliance with AEO, UK Customs Law, and company policies.
  • Ensure timely closure of files with all supporting documentation.
  • Complete billing within the required KPI timeframe.
  • Maintain accurate Customer Standing Data.
  • Update comments and actions in the company system to facilitate workflow understanding.

Quotations:
  • Respond to quotations promptly, adhering to customer timelines (KPI is 30 minutes), and convert approved quotations into live jobs.
  • Understand customer needs for quotations and ensure team compliance.
  • Report any identified errors to the Line Manager to prevent recurrence.
  • Collaborate with the Customer Solutions team to analyze quotation outcomes and adjust future proposals accordingly.

Candidate Profile:
  • Demonstrated experience in a fast-paced import operations environment within a logistics or freight forwarding context.
  • Essential knowledge of Customs Declaration Service (CDS) and UK Customs regulations.
  • Familiarity with Cargowise is advantageous, though training will be provided.
