Practice Operations Coordinator

Position Overview
Stillington Surgery is seeking a dedicated Practice Operations Coordinator to become an integral part of our team at a small rural healthcare facility. This role involves collaborating closely with the Practice Manager to ensure the efficient daily operations of the practice, with a commitment of 24 hours per week spread over four days.
Key Responsibilities
The Practice Operations Coordinator will serve as a pivotal point of contact for the Practice Team, providing effective supervision and leadership on a daily basis. Responsibilities include:
- Developing and implementing operational protocols, systems, and procedures.
- Leading initiatives for IT advancements and enhancing communication both internally and externally.
- Conducting staff evaluations and facilitating training programs.
- Overseeing Health and Safety compliance and ensuring adherence to regulatory standards.
- Collaborating with all members of the Practice Team to foster a supportive work environment.
About Our Practice
We are a small dispensing healthcare facility located in the picturesque region of North Yorkshire, approximately 10 miles north of a major city. Our practice is managed by two enthusiastic GP Partners and serves around 3,700 patients. We pride ourselves on our strong reputation within the local community and our collaborative efforts with our Patient Participation Group (PPG). Additionally, we maintain robust relationships with other practices in our Primary Care Network (PCN) and consistently achieve high quality outcomes.
Job Duties
Responsibilities Include:
- Assisting the Practice Manager in ensuring the smooth, efficient, and profitable operation of the practice.
- Ensuring compliance with regulatory standards, working alongside the Practice Manager to implement necessary policies and procedures.
- Effectively managing patient complaints and feedback.
- Supporting HR functions for staff management and development.
- Familiarizing oneself with the various services offered by the practice and assisting in meeting service specifications.
- Understanding quality outcome frameworks and supporting the practice in achieving set targets.
- Gaining proficiency in clinical software systems and adhering to national and local quality standards for primary care.
- Assisting in the reporting and investigation of significant events.
- Undertaking specific projects or tasks as assigned.
- Providing coverage for the Practice Manager during their absence, including during holidays and sick leave.
- Performing any other reasonable duties to support the Practice Manager in maintaining operational efficiency.
Candidate Profile
Experience Requirements:
- Proven supervisory or leadership experience.
- Experience in customer service or working with the public.
- Background in a healthcare environment is essential.
Knowledge and Skills:
- Excellent communication abilities.
- Strong organizational skills with the ability to prioritize and delegate tasks effectively.
- Capability to train and inspire team members.
- Proficient IT skills.
Educational Qualifications:
- A solid educational background with strong literacy and numeracy skills.
- Desirable: A-level or equivalent qualifications, along with management training.
