Job Overview

Fleet and Equipment Administrative Coordinator - Fixed Term Position

Reporting to the Fleet & Equipment Unit Manager, this role serves as the administrative support for the Fleet and Equipment Team, engaging with both internal and external stakeholders, organizations, and agencies as necessary.

The successful candidate will establish and uphold a thorough secretarial and administrative service, which includes tasks such as typing, minute-taking, filing, photocopying, scheduling, and documenting appointments and meetings, while facilitating the necessary work to manage resources in line with relevant schedules.

Key Responsibilities

1. Collaborate with operational teams regarding the repair and maintenance of vehicles and the daily operations of both leased and owned equipment, including coordination with external contractors.
2. Assist in the planning and execution of all maintenance and repair activities for the fleet, as directed by the organization.
3. Support the directorate in ensuring compliance with standards set by relevant authorities and organizations.
4. Adhere to all applicable organizational policies and procedures.
5. Maintain accurate records related to the maintenance and repair of vehicles and equipment using computerized systems, ensuring that inspection reports and job cards are completed and closed appropriately.
6. Provide necessary information to all departments regarding the status of vehicle operations.
7. Attend training sessions as required.
8. Engage in the organization’s annual Individual Performance Review and Development process.
9. Cultivate positive relationships with internal and external stakeholders to enhance collaboration.
10. Oversee and monitor teams of drivers to promote a culture of safety.
