Entry-Level Executive Assistant / Project Coordinator

FY Recruitment, a prominent executive search firm operating across diverse sectors, is seeking a motivated Entry-Level Executive Assistant / Project Coordinator.

The ideal candidate will possess a minimum of 3 years of experience in a professional services environment where client engagement and relationship management are paramount. Essential skills include the ability to thrive in a fast-paced setting, demonstrate strong relationship and client management capabilities, and exhibit excellent communication skills. This position will report to a Senior Executive Assistant / Project Coordinator, providing a valuable opportunity for professional growth and development within the organization.

We are looking for a Project Coordinator / Executive Assistant with outstanding organizational abilities, capable of managing multiple projects simultaneously in a dynamic environment. The candidate must be adaptable, able to shift priorities while maintaining composure and focus. Strong upward management skills are crucial, along with exceptional communication and document preparation skills. A proactive approach, initiative, and a high energy level are essential attributes.

Key Responsibilities:

  • Manage the workflow for each assignment, ensuring all processes remain on schedule.
  • Proactively support the team to advance assignments and projects effectively.
  • Keep the team informed of any significant updates regarding client expectations or candidate pipelines.
  • Coordinate all business-related meetings, calls, and interviews.
  • Handle complex and frequently changing diary management.
  • Facilitate project communication and documentation.
  • Create, edit, and format all client-facing materials.
  • Maintain strong relationships with team members, clients, prospects, and candidates to deliver exceptional customer service.
  • Act as the external liaison between executives, their clients, and extended teams.

Minimum Qualifications:

A minimum of 2 years of experience in Executive Search, Management Consulting, Private Equity, Real Estate, or a professional services organization is preferred. The ability to collaborate within a team and adapt to a fast-paced, dynamic office environment is essential. Proficiency in IT, particularly with Microsoft Office (Excel, Word, and PowerPoint), is required. Strong educational credentials are necessary, ideally with a degree or equivalent qualification. We seek an individual who is confident, upbeat, and possesses a flexible attitude, where no task is too daunting. A sociable personality with engaging communication skills will thrive in this collaborative environment.
