We are seeking a vibrant, compassionate, and enthusiastic individual to join our dedicated team at Woodbury Surgery.

As a healthcare reception coordinator, you will serve as the initial point of contact for our patients, playing a vital role in ensuring the efficient operation of our practice. Your exceptional interpersonal skills will be essential in assisting patients and collaborating with other healthcare professionals.

This position is ideal for someone with a keen interest in the healthcare sector.

While prior reception experience is advantageous, comprehensive training will be provided to the successful applicant.

Key Responsibilities

In this front-facing role, you will be expected to demonstrate outstanding people skills.

Your duties will include:

  • Welcoming and assisting patients and visitors in a friendly and professional manner.
  • Effectively communicating with patients, staff, visitors, and external agencies both in person and over the phone.
  • Managing appointment scheduling and ensuring the appointment system operates smoothly.
  • Monitoring patient flow to and from consulting rooms and updating patients regarding any delays.
  • Understanding the processes for booking both routine and urgent appointments.
  • Handling incoming and outgoing correspondence.
  • Accepting and processing registration forms from new patients in accordance with practice policies.
  • Explaining practice procedures to newly registered patients.
  • Accurately updating patient records to reflect changes.
  • Managing internal and external communication channels.
  • Processing information in line with practice protocols.
  • Providing administrative support as needed.
  • Handling specimens according to established protocols.
  • Receiving and managing deliveries.
  • Ordering office supplies.
  • Maintaining a clean and organized reception area.
  • Keeping waiting room information current and designing promotional displays.
  • Participating in practice meetings and training sessions as required.
  • Assisting the management team as necessary.

Responsibilities will be reviewed periodically to adapt to changing circumstances. Duties may be adjusted as required by the management team to ensure a high standard of reception and administrative service.

Experience Requirements

Essential

  • Experience in a customer service role.
  • Background in office administration.

  • Previous experience in a healthcare or GP surgery environment.
