Role Overview

The Facilities Operations Specialist will report directly to the Office Service Coordinator or Facilities Manager, playing a crucial role in ensuring the seamless operation of facilities management services within the building.

Key Responsibilities

  • Conducting regular inspections of the building to identify maintenance needs and documenting findings.
  • Collaborating with the Facilities Manager and Moves and Changes team to address internal space requirements and facilitate team relocations.
  • Monitoring inventory levels of office supplies and consumables, placing orders as necessary.
  • Assisting with internal relocations in coordination with the Facilities Manager.
  • Maintaining updated floor plans in collaboration with the Facilities Manager and Moves and Changes team.
  • Supporting the organization of in-house and external events as required.
  • Coordinating with the Building Operations team to report and arrange repairs for any defective health and safety equipment.
  • Providing assistance to the Office Service Coordinator with vendor management and soft service support.
  • Overseeing the management of fire wardens and first aiders, including scheduling necessary training sessions.
  • Reviewing and maintaining manuals, handbooks, and guidance documents.
  • Covering receptionist duties as needed.
  • Understanding the primary responsibilities of meetings and events, supporting the M&E Specialist when necessary.
  • Managing daily mailroom operations, including deliveries and inquiries.
  • Familiarizing oneself with courier procedures and external contacts.
  • Managing mail-related supplies and placing orders when necessary.
  • Performing additional tasks and responsibilities as required.
  • Managing the client ticket portal and providing support with the ticketing system.

Ideal Candidate Profile

  • Experience in a high-profile corporate environment.
  • Background in reception or hospitality is advantageous.
  • Proactive and hands-on approach, willing to support team members.
  • Familiarity with facilities management processes is preferred.
  • Proficient in IT skills, including Outlook, Excel, and Word.
  • Professional demeanor with a friendly and welcoming attitude.
  • Strong attention to detail and ability to take initiative.
  • Excellent communication and organizational skills, with the ability to prioritize a busy workload.
  • A solid background in customer service is essential.
