Role Overview

Reporting directly to the Office Service Coordinator or Facilities Manager, the Facilities Operations Specialist plays a crucial role in ensuring the seamless operation of facilities management services within the building.

Key Responsibilities

  • Conducting regular inspections of the building to identify maintenance needs and documenting findings.
  • Collaborating with the Facilities Manager and Moves and Changes team to address internal space requirements and facilitate team relocations.
  • Monitoring inventory levels of office supplies and consumables, placing orders as necessary.
  • Assisting the Facilities Manager with internal relocations within the premises.
  • Maintaining accurate floor plans in partnership with the Facilities Manager and Moves and Changes team.
  • Supporting the organization of in-house and external events as required.
  • Coordinating with the Building Operations team to report and arrange repairs for any defective health and safety equipment.
  • Assisting the Office Service Coordinator with vendor management and soft service support as needed.
  • Overseeing fire wardens and first aiders, including scheduling necessary training sessions.
  • Maintaining and reviewing manuals, handbooks, and guidance documents.
  • Covering receptionist duties when necessary.
  • Understanding the primary responsibilities of meetings and events, providing support to the M&E Specialist as needed.
  • Managing daily mailroom operations, including deliveries and inquiries.
  • Familiarizing oneself with courier procedures and key external contacts.
  • Managing inventory of mail-related supplies and placing orders when required.
  • Performing additional tasks and responsibilities as assigned.
  • Managing client ticketing systems and supporting with the CORRIGO ticket system.

Ideal Candidate Profile

  • Experience in a high-profile corporate environment.
  • Background in reception or hospitality is advantageous.
  • Proactive and hands-on approach, willing to support team members.
  • Familiarity with facilities management processes is preferred.
  • Proficient in IT applications, including Outlook, Excel, and Word.
  • Professional demeanor with a friendly and welcoming attitude.
  • Strong attention to detail.
  • Ability to take initiative.
  • Excellent communication skills.
  • Strong organizational skills with the ability to prioritize a busy workload.
  • Essential background in customer service.
