Role Overview

Reporting directly to the Office Service Coordinator or Facilities Manager, the Facilities Operations Specialist plays a vital role in ensuring the seamless delivery of facilities management services within the building.

Key Responsibilities

  • Conducting regular inspections of the building to identify maintenance needs and documenting findings.
  • Collaborating with the Facilities Manager and Moves and Changes team to assess internal space requirements and facilitate team relocations.
  • Monitoring inventory levels of office supplies and consumables, placing orders as necessary.
  • Assisting with internal relocations in coordination with the Facilities Manager.
  • Supporting the maintenance of floor plans in collaboration with the Facilities Manager and Moves and Changes team.
  • Assisting in the organization of in-house and external events as required.
  • Coordinating with the Building Operations team to report any health and safety equipment issues and arrange for repairs.
  • Providing support to the Office Service Coordinator in vendor management and soft service operations.
  • Overseeing fire wardens and first aiders, scheduling necessary training and refresher courses.
  • Maintaining and reviewing manuals, handbooks, and guidance documents.
  • Covering receptionist duties as needed.
  • Understanding the primary responsibilities of meetings and events, supporting the M&E Specialist when necessary.
  • Managing daily mailroom operations, including deliveries and inquiries.
  • Familiarizing oneself with courier procedures and key external contacts.
  • Managing stock of mail-related supplies and placing orders when required.
  • Performing additional tasks and responsibilities as assigned.
  • Managing client ticket portals and providing support with the ticketing system.

  • Experience in a high-profile corporate setting.
  • Background in reception or hospitality is advantageous.
  • Proactive and hands-on approach, willing to assist team members.
  • Familiarity with facilities management processes is preferred.
  • Proficient in IT skills, including Outlook, Excel, and Word.
  • Professional demeanor with a friendly and welcoming attitude.
  • Strong attention to detail.
  • Ability to take initiative.
  • Excellent communication skills.
  • Strong organizational skills with the ability to prioritize a busy workload.
  • Essential background in customer service.
