Project Coordinator Needed – Flexible Work Arrangement – Reputable Contractor

Invision Group is seeking a skilled Project Coordinator to join our dynamic team. This role is essential for supporting our ongoing projects and ensuring smooth operations.


Position Overview:

Reporting directly to the Director, the Project Coordinator will deliver comprehensive administrative assistance to our Construction Projects Team while facilitating communication with clients, residents, and tenants.


Key Responsibilities:
  • Provide general administrative support to the Project Management Team.
  • Organize and maintain both electronic and physical filing systems for project documentation.
  • Assist in gathering and compiling Customer Feedback data.
  • Prepare and distribute correspondence, including letters and newsletters to tenants.
  • Coordinate appointments and manage access for site teams with tenants.
  • Order and track project materials and office supplies.
  • Draft and circulate quotations and other necessary documents.
  • Handle reception duties, including answering phone calls and welcoming visitors.
  • Issue orders via email as required.
  • Facilitate online purchases for materials.
  • Apply for necessary permits and licenses, liaising with local authorities.
  • Generate and send invoices to clients.
  • Submit timesheets, expenses, and receipts to the accounts department.
  • Upload Operation & Maintenance Manuals and Assets to the client system.
  • Update Financial Trackers and Project Programmes.
  • Prepare Health & Safety documentation for upcoming projects.
  • Draft Construction Phase Plans for management review.
  • Compile and upload Delivery Notes and Waste Transfer Notes to the waste data portal.

Qualifications:
  • Proven experience in Customer Service is required.
  • Exceptional written and verbal communication skills.
  • Meticulous attention to detail and accuracy.
  • Ability to commute to the office location.

Compensation and Benefits:
  • Competitive salary up to £35,000.
