Main Responsibilities
• Manage timesheets by collecting and verifying submissions from site supervision.
• Input data from timesheets into the payroll system (M-power).
• Provide procurement support for various contracts and projects, including obtaining quotes and placing orders.
• Conduct general SAP administration tasks such as raising requisitions and managing the Goods Receipt Note (GRN) process while maintaining accurate records.
• Organize documentation related to hired plant and equipment, assisting in the ongoing hiring process.
• Update the Personnel on Board (POB) tracker to accurately reflect attendance, including holidays.
• Handle phone inquiries and facilitate communication with HR/Payroll.
• Process trade assessment forms and validate employee qualifications using the onboarding tracker.
• Perform general administrative duties as required.
Commercial Duties
• Assist in preparing estimates for maintenance, projects, or turnaround activities.
• Support the Commercial Manager in reviewing and maintaining current commercial systems and reports (e.g., cost reports).
• Update commercial reports and distribute them to the Commercial Manager, Site Managers, and Project Managers.
• Aid in the production, monitoring, and submission of variations to original budgets.
• Assist in preparing Applications for Payments (AFP's), including Schedule of Rates, Reimbursable, Fixed Price, and Target Cost.
• Contribute to the preparation of Key Performance Indicator reports.
• Provide commercial insights and support to the Commercial Manager and operational management.
• Undertake additional duties as required.
Experience & Qualifications
• Previous experience in Contract Administration or Coordination within the Petrochemical or Oil & Gas sectors.
• Strong communication skills.
• Proficient in Microsoft Office Suite – Excel, Word, PowerPoint.
• Possess attitudes and abilities that align with the Group's Core Values.
• Minimum GCSE Grade A-C.
• Candidates should aspire to achieve a relevant Engineering or Commercial qualification.
