Overview

We are seeking a dedicated Administrative Coordinator to join our team at a local manufacturing firm. This position plays a crucial role in ensuring the smooth operation of our office environment.

Working Hours

The position is full-time, with a standard workweek from Monday to Friday.

Key Responsibilities

The Administrative Coordinator will be responsible for a variety of tasks, including but not limited to:

  1. Exemplifying professionalism and responsibility to set a positive example in the workplace.
  2. Ensuring compliance with company policies and maintaining confidentiality regarding sensitive information.
  3. Supervising and supporting administrative staff, delegating tasks as needed.
  4. Enhancing administrative efficiency through process improvements and training initiatives.
  5. Managing Health & Safety documentation and ensuring proper procedures are followed.
  6. Handling incoming calls and welcoming visitors, ensuring accurate visitor logs and safety protocols.
  7. Responding to telephone and email inquiries, tracking progress and noting necessary follow-ups.
  8. Overseeing multiple email accounts, including sales and accounts, ensuring timely responses.
  9. Reviewing sales invoices for accuracy and issuing them in the absence of the administrator.
  10. Coordinating purchases and services in collaboration with the Operations Manager, including obtaining quotes.
  11. Tracking petty cash transactions and maintaining accurate records of receipts.
  12. Processing cash and cheque deposits, ensuring documentation is filed appropriately.
  13. Organizing client information, price requests, and quotes, updating systems as necessary.
  14. Managing credit accounts and liaising with relevant parties for status updates.
  15. Maintaining pricing lists and ensuring they meet management requirements.
  16. Issuing Material Safety Data Sheets (MSDS) for first-time purchases to clients.
  17. Updating financial records and maintaining organized filing systems.
  18. Monitoring statements and correspondence, ensuring accuracy with financial records.
  19. Alerting management to urgent payment statuses and coordinating payment processes.
  20. Generating monthly creditor reports and managing payment logs.
  21. Providing reports to management and external organizations as required.
  22. Creating and maintaining necessary spreadsheets for administrative functions.
  23. Assisting with HR administration, including recruitment, documentation, and payroll setup.
  24. Supporting employee welfare initiatives and maintaining attendance records.
  25. Liaising with HR consultants on various employee-related matters.
  26. Tracking attendance and payroll information accurately.
  27. Collaborating with the Operations Manager to ensure timely provision of import and export documentation.
  28. Providing support for the Sales Administrator during peak times and absences.
  29. Ensuring personal data backup and monitoring of all administrative processes.
  30. Performing any additional duties as required to support company operations.

Qualifications

  • Exceptional verbal and written communication abilities.
  • Basic understanding of accounting practices and financial procedures.
  • Demonstrated experience in an administrative role or similar position.
  • Familiarity with office software, including word processing and spreadsheet applications.
  • Strong organizational skills and the ability to manage confidential information.
  • Proficient problem-solving skills and a willingness to assist others.
  • Outstanding leadership and time management capabilities.
  • Experience in human resources administration is a plus.
