Position Overview

Shah Zaman Surgery is seeking a dedicated healthcare administrative assistant to become a vital part of our supportive team.

As a training practice, we cater to a diverse patient base of 4,700 individuals.

Key Responsibilities

• Accurately transcribe letters, reports, and patient referrals, ensuring high-quality documentation.

• Assist the Practice Manager with various clerical and administrative tasks.

• Support the Practice Manager in achieving Quality and Outcomes Framework (QOF) targets, including patient appointment scheduling.

• Manage appointment bookings, admissions, and other necessary arrangements.

• Handle incoming and outgoing phone communications to facilitate timely interactions, taking messages and addressing relevant inquiries.

• Maintain the clinic's computer system with precision and security.

• Provide coverage for secretarial and reception team members during absences.

• Address general inquiries, clarify procedures, and assist in scheduling new and follow-up appointments.

• Utilize sound judgment and communication skills to ensure that patients requiring urgent consultations are attended to efficiently.

• Record requests for home visits in the clinical system, ensuring all pertinent details are accurately documented.

• Process repeat prescription requests and manage the distribution of completed prescriptions to patients, verifying their information.

• Inform patients about applicable charges for private services, process payments, and issue receipts accordingly.

About Our Practice

We operate from modern facilities, delivering exceptional care to over 4,700 patients, utilizing SystmOne for our operations. Our team includes skilled nursing and healthcare assistants, and we are committed to training GP registrars while consistently achieving high QOF standards.

Job Requirements

• Provide comprehensive secretarial support to GPs, the Practice Manager, and other health professionals, including audio typing.

• Foster effective communication among patients, primary healthcare team members, secondary care, and other healthcare organizations.

• Perform general clerical tasks and various administrative duties to ensure the practice runs smoothly.

• Offer assistance to the practice team and maintain a positive, welcoming atmosphere for patients and visitors, whether in person or over the phone.

• Guide and assist patients in accessing the appropriate services or healthcare professionals in a courteous and efficient manner.

Desired Experience

• Previous experience in a GP practice setting.

• Familiarity with SystmOne software.
