We are excited to present a fantastic opportunity for a Scheduling Coordinator within our operations division:

ROLE OBJECTIVE

To facilitate the seamless functioning of our immersive training center, specifically the EPIC theatre-based training initiative, by overseeing the freelance team responsible for delivering sessions and organizing shift schedules.

PRIMARY RESPONSIBILITIES (including but not limited to):

  • Oversee scheduling for cast and crew at the EPIC Centre.
  • Onboard new freelance personnel onto resource management systems, ensuring clear communication of operational procedures.
  • Identify resource shortages across various projects and track availability.
  • Generate project documentation, such as weekly schedules and call sheets.
  • Manage the freelancer cover system; ensure precise tracking within resource management software.
  • Coordinate costumes, equipment, educational materials, etc., for ATT programs.
  • Monitor and arrange necessary training for the freelance team.
  • Provide support to the center team during event days, addressing and resolving live operational challenges.
  • Handle inquiries related to invoicing.
  • Track, authorize, and approve freelance shifts for compensation.

ADDITIONAL RESPONSIBILITIES:

  • Participate in the 'out of hours' schedule, managing last-minute adjustments (a few days each month).
  • Offer general assistance to the Operations Team on new initiatives as needed.
  • Occasionally assume the role of on-site manager at various centers.

WORK LOCATION: You will be primarily based at our head office in Southeast London, with occasional travel to other ATT locations as necessary.

WORKING HOURS: Standard working hours are Monday to Friday, 8 hours per day. (Start and finish times may vary based on your designated work location on any given day)

COMPENSATION: £27,000 - £28,750 per annum (dependent on experience)

CANDIDATE PROFILE:

WE ARE SEEKING INDIVIDUALS WHO POSSESS:

  • A degree-level qualification or equivalent experience relevant to the role.
  • A minimum of 1 year of experience in arts administration, production administration, stage management, technical theatre, video production, or live events.
  • An understanding of the complexities involved in managing a large freelance workforce.
  • Experience in handling intricate schedules within a live events context.
  • Proficiency in IT skills (general administration).
  • Strong competency in English and Mathematics.
