Role Insights: This position offers a unique perspective into the operations and aspirations of the Greater London Authority, serving as a crucial link between senior executives and a diverse array of stakeholders.

Key Qualifications: To excel in this role, candidates must possess extensive experience in managing schedules and communications, adeptly handling competing priorities. Strong communication skills are essential, along with the ability to work independently and efficiently while managing confidential and sensitive information.

Team Contribution: We are looking for an individual who will actively and positively engage in the broader initiatives and projects within the Executive Support Team.

Principal Responsibilities:

  1. Deliver comprehensive, high-level administrative support to two executives, including organizing, modifying, and canceling meetings, planning over extended periods, and managing all related tasks such as preparing briefing and speaking notes.
  2. Utilize in-depth knowledge of the business area to operate independently, exercising evaluative judgment and discretion to address issues and balance competing priorities across multiple executive schedules, escalating matters to the Executive Support Manager only when necessary.
  3. Maintain effective communication and productive relationships with a complex network of external stakeholders, senior management, and other personnel across the organization to facilitate efficient executive support.
  4. Stay informed about key priorities and developments within the supported business areas and the organization at large, enabling informed and targeted assistance to the executives, covering additional schedules within the Executive Support Team as needed, and responding to emerging situations.
  5. Oversee the governance and transparency processes for executives, including managing declarations of Gifts and Hospitality and the Register of Interests.
  6. Administer the documentation clearance process for executives, including authorizations for absences.
  7. Manage inboxes related to invitations, organizing correspondence, and filing emails as necessary.
  8. Contribute to fostering a successful and positive Executive Support Team by demonstrating the highest standards of professionalism and participating in team meetings, providing valuable input, and undertaking assigned tasks as required.
